Who we are

Servd Marketing, operating as Salenza, is a business registered in the Netherlands under KvK 86248375. Our business address is Stadhouderslaan 139, 2382 BV Zoeterwoude, the Netherlands. In this notice, "Salenza," "we," "us" and "our" refer to Servd Marketing.

Scope and privacy roles

This notice covers visitors to the Canadian website, demo leads, customer administrators, billing and support contacts, and people whose information may be handled through the Salenza service.

Website, demo and account information

Salenza determines why and how it handles information submitted directly for website operation, demo requests, account administration, billing, security and support.

End-client information

A salon or clinic generally decides why Salenza is used to communicate with its clients and which information is handled. Salenza acts on that customer's documented instructions, subject to applicable law and the signed agreement. Additional requirements may apply where a clinic is a regulated health-information custodian.

Information we may handle

  • Contact and business information: name, work email, optional phone number, role, company, location, team size and service needs.
  • Account and commercial information: plan, authorized users, settings, billing contacts, usage and support history.
  • Website and device information: consent choices, browser and device data, approximate location derived from IP, referral information and interaction events.
  • Service communications: messages, booking requests, intake responses, files or images submitted through enabled channels, and records of human review or escalation.
  • Operational information: timestamps, delivery status, audit records, security events and integration activity.
  • AI-related information: prompts, outputs, classifications and confidence or escalation signals generated to provide the configured service.

Demo forms are not intended for client, patient, treatment or other sensitive information. Please share only business information needed to arrange and tailor the demo.

Why information is used

Depending on the relationship and instructions involved, information may be used to respond to demo requests, provide and configure the service, authenticate users, connect approved systems, facilitate client communications and bookings, provide support, prevent misuse, maintain service integrity, meet legal obligations and improve operational reliability.

A demo request allows us to respond to and arrange that requested demo. It does not automatically subscribe the requester to newsletters, offers or unrelated commercial messages. Any future marketing program will use a separate, channel-specific consent process where required.

AI, automated outputs and human control

Salenza uses AI to generate and classify communications under rules configured for the customer. AI outputs are probabilistic and may be incomplete or incorrect. Customers must maintain appropriate human oversight, escalation rules and review for sensitive or uncertain situations.

Salenza is not designed to diagnose, prescribe, respond to emergencies or make autonomous medical-clearance decisions. A user may be communicating with an AI assistant, and a human may review, correct or take over a conversation according to the customer's configuration.

The complete production register will identify relevant AI and infrastructure providers, the information sent to them, processing locations, retention settings and whether provider model-training is disabled or otherwise controlled.

Service providers and cross-border processing

We use service providers where needed to operate the website, arrange demos and provide contracted services. They may process information outside Canada and outside the individual's province, where it can be subject to the laws of those locations.

  • Country API: receives the visitor IP on the bare website root and returns a two-letter country code so the site can select Dutch or English. We request no city or precise-location fields, and the provider states that it does not log requests.
  • Formspree: processes website form submissions using infrastructure in the United States.
  • Cal.eu: may process scheduling information when a person chooses to book a meeting. Exact contracted service details and processing locations are being confirmed before production.

The product-provider and data-location register is being completed before production. See the Subprocessor and Data Location Register for the current status. We will not treat consent to current providers as blanket consent to materially different future purposes or tools.

Retention and safeguards

Information will be retained only as long as reasonably necessary for the identified purpose, contractual commitments, security, dispute resolution and applicable legal obligations. Retention periods will vary by data category and customer instructions. Production schedules for demo leads, account records, messages, files, logs, backups and deletion requests are being finalized.

We intend to use administrative, technical and contractual safeguards proportionate to the information and risks involved. Our Security Overview describes the control approach. No method of transmission or storage can be guaranteed absolutely secure.

Minors and sensitive information

The business service is not directed to children. Customers must not configure Salenza to collect information from minors or sensitive health information without establishing an appropriate lawful basis, notices, consents, human oversight and any required sector-specific agreement.

Access, correction and privacy choices

Subject to applicable law, individuals may request access to or correction of their personal information, ask questions about its use or disclosure, or withdraw consent where processing depends on consent. Legal exceptions may apply, and withdrawal may affect our ability to provide a requested service.

For end-client information controlled by a salon or clinic, requests should normally be directed to that business. We will assist customers with verified requests as required by the agreement and applicable law. We may need to verify identity before acting.

Questions, complaints and changes

Send privacy questions or complaints to privacy@salenza.ai. We will investigate and respond according to the law that applies. Individuals may also have the right to contact the relevant federal or provincial privacy regulator.

We may update this notice as the service, providers or legal requirements change. Material changes will be communicated in an appropriate manner, and fresh consent will be sought where required for a new purpose.
